FAQ
RESERVATIONS
All bookings must be made exclusively through our website. This way you can check real-time availability and complete your booking quickly, easily and securely.
Only PREMIUM bookings can be cancelled or modified. BASIC and STANDARD bookings are non-refundable, non-modifiable and non-cancellable.
For PREMIUM bookings:
- More than 48 h before the start of the rental: free of charge.
- Between 48 h and 24 h before: a charge of 50 % of the rental amount applies.
- Less than 24 h before, or failure to show up (no-show): 100 % of the amount, with no refund.
Please email autos@vimarentacar.com attaching your booking confirmation and providing your bank details for the refund.
If you wish to extend your rental, please contact us at autos@vimarentacar.com.
Any extension is subject to vehicle availability and will be confirmed whenever possible.
The main driver must present the following physically and in original form:
- Valid ID card or passport.
- Valid driving licence, recognised in Spain.
- Physical credit card in the main driver’s name.
Photographs, copies and digital documents are not accepted.
Vima reserves the right to unilaterally terminate the contract if these documents are not provided. In such cases the customer is not entitled to a refund of the rental amount paid.
Yes. You can request an invoice during the online booking process, at step 4 «My Details», by ticking the option «Do you require an invoice in a company name?» at the bottom of the page. You can also request it by emailing autos@vimarentacar.com.
The invoice will be sent to the customer within 1 to 2 working days after the end of the rental period.
RATES
With Vima, there are no surprises: the reservation price shown on the website is exactly what you will pay when you collect the car.
The only additional expense is the Palma Airport parking ticket, if you collect the vehicle there. This is a public car park managed by the airport, not by us, and the cost depends on how long the car remains there. To keep this cost to a minimum, we enter the vehicle into the car park approximately at the time your flight lands, so that it is waiting for you without accumulating unnecessary parking hours.
For deliveries during office hours, the parking ticket does not exceed €15. For deliveries outside office hours, the amount depends on the length of stay and is not subject to this limit.
Optional extras (young driver, collection or return outside office hours, child seats, GPS, etc.) are shown during the booking process, before payment.
The Premium rate covers damage caused to the vehicle in the event of an accident, except damage resulting from reckless driving or driving under the influence of alcohol or drugs.
The following are not included, among others:
- Refuelling the vehicle with the wrong fuel.
- Damage to the clutch.
- Loss of or damage to the keys.
- Handling of traffic fines.
- Forced entry to doors or locks.
- Theft of personal belongings.
For cover to be valid, it is essential to report any damage to VIMA before returning the vehicle.
In the event of an accident involving another vehicle, you must send us the duly completed European Accident Statement to autos@vimarentacar.com.
If the accident occurs without another vehicle being involved, you must send photographs of the damage and a brief explanation of what happened to the same address.
If the damage is not reported before the vehicle is returned, Premium cover will not include the repair costs.
The excess is the maximum amount the customer would have to pay if the vehicle is damaged, in accordance with the terms of the contract.
For example, with an excess of 1,200 €:
- If the damage amounts to 100 €, you pay 100 €.
- If the damage amounts to 2,000 €, the maximum amount is 1,200 €.
PAYMENT METHODS
No. The card must be physical, issued in the main driver’s name, and must be the same card used to pay for the booking.
Third-party cards, photographs or copies of cards are not accepted.
You can pay for your rental by physical Visa or Mastercard, cash on arrival or bank transfer.
For rentals with the Standard and Premium packages, a physical credit card in the main driver’s name must be presented as a guarantee, unless you have taken out the «Delivery without credit card» option, which costs 5 € per rental day.
We do not accept American Express, wallets or mobile payments such as Apple Pay or Google Pay, prepaid cards, or cards issued by digital financial institutions such as Revolut, N26, Wise, bunq, Vivid Money, Monese, Nubank, Girocard or EC-Karte, even if they carry the Visa or Mastercard logo.

Yes, but only with the Premium rate and by adding the «Delivery without credit card» option.
You can add it during the booking process, in the «Extras» section. If you do not select it in advance, you can add and pay for it at the airport or office before the vehicle is handed over.
This option is not available with the Basic or Standard rates.
The credit card is required as a rental guarantee and, depending on the rate and the terms of the booking, a pre-authorisation or deposit may be necessary.
- Standard package: guarantee of 1,200 €.
- Junior driver: additional guarantee of 350 €.
- Premium package: the 1,200 € Standard guarantee is not required.
- Fuel guarantee: pre-authorisation of 120 €, released once we confirm that the vehicle has been returned with the same fuel level it was delivered with.
The guarantee is processed by credit card and is subject to the terms of the rental agreement.
DELIVERY & RETURN
STANDARD or BASIC bookings: collection is limited to office hours and to the cut-off time of 21:30 on the booked day. This time is not extended due to flight delays or cancellations, baggage delays or passport control. If you do not arrive before that time, the booking becomes a no-show with no right to a refund.
PREMIUM bookings: we can arrange delivery outside normal office hours, provided you notify us before 19:00 at autos@vimarentacar.com and we confirm it in writing. Without this prior notice, the booking will also be marked as a no-show.
Deliveries between 21:30 and 07:30 are subject to two charges:
- Out-of-hours delivery supplement: 49 €.
- «Delivery without credit card» option: 5 € per rental day. During night-time deliveries we do not have a desk available to process credit cards in person, so the rental is always formalised under this option, whether or not the customer holds a credit card.
Yes, Vima Rent a Car offers a pick-up and drop-off service at Palma de Mallorca Airport, Cala Figuera, Cala Santanyi, Santanyí, Colonia de Sant Jordi, Cala d’Or, Cala Llombards and Porto Petro. In order to take advantage of this service, prior confirmation from VIMA is required.
Normal return hours at Palma de Mallorca Airport are from 08:00 to 21:30.
If you need to return the vehicle outside these hours:
- Between 21:30 and 06:30: supplement of 39 €.
- Between 06:31 and 08:00: supplement of 29 €.
You may return the vehicle before the agreed time at no cost, provided this takes place within office hours and VIMA has given express authorisation by email. Otherwise, early return is subject to a charge of 80 €.
DRIVERS
All persons named in the rental agreement.
- The minimum age to rent is 20 years, with a driving licence held for at least 1 year. The maximum age is 84 years.
- Drivers between 20 and 24 years old pay a supplement of 15 € per day.
- Drivers over 78 years old pay a supplement of 15 € per day.
The customer is responsible for paying the fine as soon as they receive it.
A charge of 50 € applies for handling the fine, in addition to the amount of the penalty itself. This applies unless you have taken out the Extra insurance, which includes the handling of fines.
VEHICLES
We guarantee your booking in the vehicle category you have requested, or in a higher category. However, we cannot guarantee the availability of a specific model.
If you request a particular model, we will do our best to provide it if available, although we cannot confirm this with certainty.
We deliver the vehicle with a specific fuel level and it is the renter’s responsibility to return it in the same condition. This amount is stated in the rental agreement.
If the vehicle is not returned with the same level, a charge will apply according to the table below, plus an additional 20 €refuelling service fee.

If you left an item in the vehicle after returning it, there are two options available:
- Ask someone you trust to collect the item at Palma Airport or at our Cala Figuera office. Please notify us of the collection date and time in advance so we can make sure the item is available at the chosen location.
- Arrange for a courier company to collect the item at our Cala Figuera office and deliver it to the address of your choice.
The shipment must be arranged by the customer directly with the courier company; VIMA only hands the item over to the courier.

Guidance for rental position and return









I had an agreed rental return time of 08:00 and we entered the return car park at 07:38, emptied the car and handed the keys back to their staff at 08:00, which is when they open in the morning.
The next day I received an email stating that I had returned the car before the agreed time without prior agreement and they would be charging me 80 euros. VIMA are using the timestamp on the car park ticket (which is operated by AENA, not VIMA) as the return time of the vehicle, not the time at which you hand over the keys.
On close inspection, the T&Cs state that you cannot drive the car into the parking facility outside of authorised hours, even though this is a car park that anyone can drive into and is operated by a third party.
Using the car park ticket to override the physical key handover is solely designed to catch the customer out and in my view is an abusive practice.
I will leave it up to you to decide if this is a company you want to do business with, and I would also encourage you to dig deeper into the negative reviews.
If you do decide to book with VIMA, ensure you read their pages of T&C’s first. We thought we had done everything by the book.
EDIT in response to Vima’s comments:
VIMA how can I return a car at 08:00 if I am not allowed to enter the car park before 08:00?
if you think entering a public car park 22 minutes before the car is due to be returned and handing the keys over at exactly the specified time is worthy of an 80 euro charge, go ahead and rent with them.
This is not an isolated incident. If you look into the different review platforms, it’s a deliberate practice buried in the T&Cs designed to catch their customers off guard and extract additional money.
We acted in good faith and handed the keys to the car at exactly the right time. Driving into an open car park has nothing to do with the return time. It’s a short-sighted practice, Vima would be better building a relationship with their customers not destroying them. I don’t usually complain but believe this was more than worthy of my time and effort.
